Preferred Corporate Housing: Terms of Service

Effective Date: December 23, 2025

Welcome to Preferred Corporate Housing ("PCH", "we", "us", or "our"), a division of The Discovery Group Inc. These Terms of Service ("Terms") govern your use of our website located at www.corporates.com (the "Site") and the corporate housing services we provide. By accessing our Site, submitting a housing request, or entering into a lease agreement with us, you agree to be bound by these Terms.

Please read these Terms carefully before using our services. If you do not agree to these Terms, you may not use our Site or services.

1. Acceptance of Terms

By accessing or using our Site, submitting a housing request, or signing a lease agreement with Preferred Corporate Housing, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service and our Privacy Policy. If you are entering into these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind such entity to these Terms.

2. Description of Services

Preferred Corporate Housing provides temporary housing solutions for corporate clients, relocating professionals, and travelers throughout the United States. Our services include:

Short-Term Corporate Housing: Fully furnished apartments with a minimum stay requirement of one month (30 days). We service over 75,000 cities nationwide.

Hotel Accommodations: Hotel room bookings for stays of less than 30 days.

Custom Housing Solutions: Customized housing arrangements tailored to meet specific client needs, which may include furnished apartments, housewares, utilities, Internet service, and other amenities as agreed upon in writing.

Our service process includes receiving online requests through our website or via phone and email, providing housing options for client review, and executing lease agreements for approved accommodations.

3. Booking and Reservations

Request Process: Clients may submit housing requests through our website at www.corporates.com, by calling 800-960-0102, or via email correspondence. There is no booking fee to submit a request or receive housing options.

Housing Options: Upon receiving your request, PCH will provide available housing options that meet your specified criteria. Presentation of options does not constitute a binding agreement until a lease agreement is signed by both parties.

Lease Agreement: All corporate housing arrangements require execution of a written lease agreement. The lease agreement will specify all terms, conditions, rates, inclusions, occupancy limits, cancellation terms, and other material provisions governing your stay.

Confirmation: Your housing reservation is confirmed only upon execution of the lease agreement and receipt of any required payment or security deposit.

4. Pricing and Payment Terms

Rates: All rates are quoted in writing and are subject to change based on availability, seasonal demand, and property-specific pricing. The monthly rate typically includes apartment rental, furniture rental, housewares, utilities, and Internet service. Because we provide custom corporate housing solutions, inclusions may vary based on client requirements and will be specified in your written quote and lease agreement.

Payment Due Date: Payment is generally due on the first day of each month, unless otherwise specified in your lease agreement.

Accepted Payment Methods: We accept all major credit cards, electronic wire transfers, and ACH (Automated Clearing House) payments.

Security Deposit: Depending on creditworthiness and other factors, PCH may require a refundable security deposit. The amount, terms, and conditions of any security deposit will be specified in your lease agreement. Security deposits will be returned in accordance with the terms of your lease agreement and applicable law, minus any deductions for damages beyond normal wear and tear, unpaid rent, or other charges as permitted by the lease.

Late Payment: Late payments may result in late fees as specified in your lease agreement and may affect your ability to extend or modify your reservation.

Non-Payment: Failure to pay rent or other charges when due may result in termination of your lease agreement and eviction proceedings in accordance with applicable law.

5. Cancellation and Refund Policy

Cancellation terms, notice requirements, and any applicable refund provisions are specifically stated in your individual lease agreement. Clients must refer to their executed lease agreement for cancellation policies applicable to their reservation. Cancellation policies may vary based on property, length of stay, and timing of cancellation notice.

6. Modifications and Extensions

Reservation Modifications: Guests may request modifications to their arrangements, including changes to property, dates, or other terms, by coordinating with PCH staff members. All modification requests should be directed to our main office at 800-960-0102. Modifications are subject to availability and may result in rate adjustments.

Extensions: Requests to extend your stay beyond the original lease term should be communicated to your assigned Account Manager or our main office as early as possible. Extensions are subject to availability and current pricing.

Early Termination: Early termination provisions, including required notice periods and any associated fees or penalties, are specified in your lease agreement.

7. Account Manager

Each client will be assigned an Account Manager who serves as your primary point of contact during your stay with PCH. Your Account Manager is responsible for coordinating services, addressing concerns, and ensuring your housing experience meets expectations. You may reach your Account Manager through our main office number at 800-960-0102.

8. Property Rules and Guest Conduct

Occupancy Limits: Occupancy limits are set by local jurisdictions and individual property regulations and will be specified in your lease agreement. Guests must not exceed the maximum occupancy stated in their lease agreement.

Pet Policy: Pet policies are property-specific. Some properties allow pets while others do not. Pet permissions, restrictions, and any associated fees will be specified in your lease agreement. Unauthorized pets may result in additional charges or termination of your lease.

Smoking Policy: Smoking policies are property-specific and will be specified in your lease agreement. Violation of no-smoking policies may result in cleaning fees, loss of security deposit, or lease termination.

Property Regulations: Guests must comply with all property rules, regulations, and community guidelines established by the property owner or management company. These may include quiet hours, parking regulations, amenity usage rules, and other community standards.

Prohibited Conduct: Guests are prohibited from engaging in illegal activities, disturbing other residents, causing property damage, subletting or assigning the lease without written permission, using the property for commercial purposes without authorization, or violating any terms of the lease agreement.

Property Damage: Guests are responsible for any damage to the property beyond normal wear and tear. Charges for damages will be assessed and may be deducted from your security deposit or billed separately.

9. Maintenance and Support

Maintenance Requests: Any maintenance issues, problems, or situations that arise during your stay must be reported to our main office at 800-960-0102. You may also contact your assigned Account Manager for assistance.

Emergency Maintenance: For emergency maintenance issues that pose immediate safety hazards or property damage risks, contact our main office immediately at 800-960-0102.

Non-Emergency Maintenance: For non-emergency maintenance requests, contact your Account Manager or our main office during business hours.

Amenity Issues: If any provided amenity does not work or is not functioning as expected, immediately report the issue to your Account Manager at 800-960-0102. We will work diligently to resolve the issue on your behalf in coordination with the property owner or management company.

Response Times: While we strive to address all maintenance and amenity issues promptly, response times may vary based on the nature of the issue, property location, and third-party service provider availability.

10. Access and Security

Property Access: Access instructions, keys, key cards, access codes, or other entry credentials will be provided prior to your move-in date. You are responsible for safeguarding these credentials and must not duplicate or share them with unauthorized individuals.

Lost Keys or Access Issues: If you experience lock-outs, lost keys, or other access problems, contact our main office at 800-960-0102 immediately. You may be responsible for charges associated with locksmith services, key replacement, or lock changes.

11. Insurance and Liability

Renters Insurance: It is strongly advisable and recommended that all guests carry renters insurance to protect their personal property and provide liability coverage during their stay. PCH is not responsible for loss, theft, or damage to guest personal property.

PCH Liability Limitations: Preferred Corporate Housing and The Discovery Group Inc. are not responsible for and expressly disclaim liability for guest injuries, stolen property, damage to personal belongings, or losses resulting from force majeure events including but not limited to natural disasters, acts of God, pandemics, civil unrest, utility failures, or other events beyond our reasonable control.

Property Owner Responsibilities: PCH acts as an intermediary between clients and property owners. Certain responsibilities, including property maintenance, repairs, and compliance with local housing codes, rest with property owners. While we coordinate services on your behalf, PCH cannot guarantee the actions or performance of third-party property owners or service providers.

Guest Indemnification: Guests agree to indemnify and hold harmless PCH, The Discovery Group Inc., and their officers, directors, employees, and agents from any claims, damages, losses, or expenses arising from guest conduct, property damage caused by guests, or violations of the lease agreement or these Terms.

12. Intellectual Property

All content on the www.corporates.com website, including text, graphics, logos, images, and software, is the property of Preferred Corporate Housing, The Discovery Group Inc., or its content suppliers and is protected by United States and international copyright laws. You may not reproduce, distribute, modify, or create derivative works from any content on our Site without express written permission.

13. Termination Rights

PCH Termination Rights: We reserve the right to terminate any lease agreement and guest stay immediately upon breach of these Terms, violation of the lease agreement, non-payment of rent, illegal activities, property damage, disturbance to other residents, or conduct that threatens the safety or well-being of others. Termination does not relieve guests of financial obligations under the lease agreement.

Guest Termination Rights: Guests may terminate their lease agreement in accordance with the early termination provisions specified in their individual lease agreement.

14. Privacy and Data Protection

Your use of our Site and services is also governed by our Privacy Policy, which is incorporated into these Terms by reference. Please review our Privacy Policy to understand how we collect, use, and protect your personal information.

15. Communications

By providing your contact information and using our services, you consent to receive communications from PCH via email, phone, SMS text messaging, and other electronic means regarding your reservation, account, and our services. Communications may include reservation confirmations, payment reminders, maintenance updates, and other service-related messages. You may opt out of promotional communications but will continue to receive transactional and service-related messages necessary for your housing arrangements.

16. Disclaimer of Warranties

OUR SITE AND SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. PCH DOES NOT WARRANT THAT OUR SITE WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE FROM VIRUSES OR OTHER HARMFUL COMPONENTS. WE DO NOT WARRANT THE ACCURACY, COMPLETENESS, OR RELIABILITY OF ANY INFORMATION ON OUR SITE OR THE QUALITY, SAFETY, OR SUITABILITY OF ANY PROPERTY.

17. Limitation of Liability

TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, PREFERRED CORPORATE HOUSING, THE DISCOVERY GROUP INC., AND THEIR RESPECTIVE OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, AND AFFILIATES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF OUR SITE OR SERVICES, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

IN NO EVENT SHALL OUR TOTAL LIABILITY TO YOU FOR ALL CLAIMS RELATING TO OUR SERVICES EXCEED THE AMOUNT YOU PAID TO PCH IN THE SIX MONTHS PRECEDING THE CLAIM.

18. Force Majeure

PCH shall not be liable for any failure or delay in performing its obligations under these Terms or any lease agreement due to circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, pandemics, epidemics, government actions, civil unrest, terrorism, fire, flood, strikes, utility failures, or communication network failures. In such events, PCH will make reasonable efforts to minimize disruption and provide alternative solutions where possible, but shall not be held liable for inability to perform or delays in performance.

19. Governing Law and Dispute Resolution

Governing Law: These Terms and any disputes arising out of or related to these Terms or our services shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of law principles.

Jurisdiction and Venue: Any legal action or proceeding arising out of or related to these Terms or our services shall be brought exclusively in the state or federal courts located in Harris County, Texas. You consent to the personal jurisdiction of such courts and waive any objection to venue in such courts.

Dispute Resolution: Before filing any legal action, the parties agree to attempt to resolve disputes through good faith negotiation. Either party may initiate negotiations by providing written notice to the other party describing the dispute. The parties will then have thirty (30) days to resolve the dispute through negotiation.

Class Action Waiver: To the extent permitted by law, any dispute resolution proceedings, whether in arbitration or court, will be conducted only on an individual basis and not in a class, consolidated, or representative action.

20. Modifications to Terms

PCH reserves the right to modify these Terms of Service at any time. When we make material changes, we will update the "Effective Date" at the top of this page and post the revised Terms on our website. Your continued use of our Site or services after changes are posted constitutes acceptance of the modified Terms. We encourage you to review these Terms periodically.

Changes to these Terms do not affect the terms of executed lease agreements unless specifically agreed to in writing by both parties.

21. Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it valid and enforceable.

22. Entire Agreement

These Terms of Service, together with our Privacy Policy and any executed lease agreement, constitute the entire agreement between you and PCH regarding your use of our Site and services, and supersede any prior agreements or understandings, whether written or oral.

23. Waiver

No waiver of any provision of these Terms shall be deemed a further or continuing waiver of such provision or any other provision. PCH's failure to enforce any right or provision of these Terms shall not constitute a waiver of such right or provision.

24. Assignment

You may not assign or transfer these Terms or any rights granted hereunder without our prior written consent. PCH may assign these Terms or any rights hereunder without restriction.

26. Acknowledgment

BY USING OUR SITE OR SERVICES, YOU ACKNOWLEDGE THAT YOU HAVE READ THESE TERMS OF SERVICE, UNDERSTAND THEM, AND AGREE TO BE BOUND BY THEM. IF YOU DO NOT AGREE TO THESE TERMS, YOU MUST NOT USE OUR SITE OR SERVICES.
